Optimize your outreach

Best Practices

Use our app more efficiently and effectively with our tips and tricks

Before the Event

  • Plan Ahead:
    • Set up your event, address targets, and routes several days in advance to allow time for review and adjustments
  • Test the App:
    • Walk through the event as an “admin,” “team leader,” and “team member” to ensure everything works as expected
  • Communicate Clearly:
    • Send informational emails or texts to volunteers beforehand, letting them know what to expect on event day
  • Prepare Instructions:
    • Print or display simple start-up instructions, QR codes, and troubleshooting “cheat sheets” at your event launch
  • Double-Check Boundaries:
Make sure your polygons only cover the homes you want included. Remove any schools, businesses, or non-residences if desired
  • Zoom Levels:
    Zoom out for big-picture planning.
Zoom in for detailed cleanup or final adjustments
  • Multiple Polygons:
Use separate polygons to target disconnected neighborhoods or subdivisions within one event
  • Plan Route Size Wisely: Too large, and teams might not finish; too small, and the team may not have enough to do
  • Check the Map: After route assignment, verify that coverage is logical—routes should be cohesive areas, not scattered homes
  • Empower Teams: If teams are quick and want more, they can “get more addresses” in the app, and you can freely reassign unvisited addresses
  • Prepare for Changes: Teams might return routes they cannot finish; be ready to reassign these during the event

Day Of Event

  • Have printed instructions or a help station for those unfamiliar with mobile devices
  • Remind teams to use in-app navigation (not browser back buttons) for a smoother experience
  • Designate a tech helper or admin to troubleshoot sign-in or assignment issues on event day
  • Designate Team Leaders in Advance:
    • Pre-select natural leaders when possible, and brief them on the team-building process
  • Demonstrate Team Joining:
    • Show volunteers how to join teams using QR codes or text links on-site
  • Encourage 3–5 People per Team:
    • Optimize team sizes for safety, coverage, and engagement
  • Sign In & Form Your Team
    • Scan the Team Leader QR Code: At the event launch, the team leader opens their phone’s camera and scans the QR code (or uses the provided link)
    • Sign in with Your Cell Phone Number: Enter your number, receive a verification code by text, and enter it—no password or app install needed
    • State Team Size: Indicate how many people (including yourself) are on your team (helpful for stats, even if not all use the app)
    • Gather Team Members: Invite team members to scan the team QR code on your “My Team” page or send them an invite via text directly from the app
  • Assign Routes
    • The app assigns a set of addresses/routes to your team, viewable in the app as a map and list
    • Teams cannot select routes unless enabled by the admin
  • Coordinate & Orient Your Team
    • Use the “My Team” screen to see who’s joined your team
    • Make sure all members are signed in before deploying
  • Join a Team
    • Scan the QR Code on Your Team Leader’s Device or receive a text invite
    • Sign in with Your Phone Number and enter the quick verification code received by text
    • Indicate Team Size: If you brought someone not signing in, note how many people are with you (for event stats)
  • Get Your Mission
    • Immediately see your assigned addresses/routes when joining the team
    • Use the “My Mission” screen to access:
      • My Map: Interactive map of your route(s) and current location (if allowed)
      • My List: List of addresses with visit status
      • My Team: List of team members
      • I Need Help: Event instructions/resources
      • Our Progress: Stats for your team and personal visits
      • My Addresses: Details of assigned and completed addresses

In the Field

  • Use the map or address list to find your next home
  • If enabled, your phone will use your current location to help guide you
  • Log outcomes and notes immediately after each visit for accuracy
  • For each address, tap the location on the map or use the “Visit” button in the list
  • Answer simple prompts to report the outcome (e.g., No answer, Face-to-face, Conversation topics, Materials left)
  • Add notes as needed, with the option to dictate via your phone
  • Completed visits turn the house marker green (or another color), so your team sees what’s done
  • All team members share the same view—no risk of double visits
  • Live Tracking: See team progress and remaining addresses in real time
  • Request More Addresses: If you finish early, tap “Get More Addresses” for an additional route
  • Give Back Unvisited Addresses: If you need to leave, return unvisited addresses for reassignment with a single tap
  • Team Communication: Team leaders can send messages to the team; members can find their leader’s contact info if enabled

Event Oversight

Use the control room’s real-time dashboard to spot dropped routes or stalled teams:

  • Control Room Dashboard
    • Access the event’s Control Room to see all vital event data in one place
    • Overview information includes:
      • Number of active teams, team leaders, and total volunteers (including those not using the app but counted by team leaders)
      • How many addresses are assigned, completed, and still available
      • Live updates as teams progress through their routes
  • Live Map View
    • Visualize address coverage on an interactive map
    • Unassigned addresses: Often shown in one color (e.g., yellow)
    • Assigned (but unvisited) addresses: Another color or special icon
    • Completed/visited addresses: Marked green or another color
    • Click on map pins to see visit details, team assignments, or notes for any address
  • Progress Statistics
    • Instantly see:
      • Number of homes visited
      • Outcomes of visits (face-to-face, no answer, gospel shared, salvations, prayer requests, etc.)
      • Team-by-team progress and statistics, visible as summary totals and in exportable lists
    • Filter by route, team, or specific visit results to analyze event coverage
  • Location Tracking (If Enabled)
    • When participants allow location sharing, you can see approximately where teams are operating on the map
    • This helps enhance safety and support logistics (“Where is Team #3?” or “Who’s covering the far side of the neighborhood?”)
  • Send Announcements: Use the built-in messaging feature to send SMS updates or encouragement to team leaders or all volunteers
  • Share Reminders: Remind teams if time is running short, or instruct them to return for a wrap-up at a specific time
  • Troubleshooting: If you notice a stalled team or incomplete route, contact the team leader directly

After the Event

Set event status to “Ended” or “Completed” immediately after wrap-up.

  • Ended: Use when you want to finalize participation but may want to review and export results
  • Completed: Use for fully archived events where no further edits are needed

Review results and assign any necessary follow-up as soon as possible.

  • Identify Follow-Up Needs:
    • Use visit results and notes to mark homes requesting prayer, more information, baptisms, or further visitation
    • Assign church staff, small group leaders, or designated volunteers to these follow-up tasks
  • Data Sharing:
    • If you use a church management system (ChMS), import the exported data for coordinated next steps
  • Respect Privacy:
    • Only share sensitive visit details with authorized church leaders or staff
  • Check Visit Logs:
    • Verify that all teams have submitted their visit records and completed their assigned routes
    • Look for any missed addresses or uncompleted routes and assign follow-up if needed
  • Analyze Statistics:
    • Review summaries: houses visited, conversations, gospel presentations, salvations, prayer requests, etc.
    • Use map view or export tab for in-depth review, including team-by-team or street-by-street breakdowns
  • Download Results:
    • Using the export feature, download all event data (address lists, visit results, notes, and team assignments) to Excel/CSV.
    • Store these securely according to your church’s data retention policies
  • Backup:
    • Save the exported file in a safe location for later reference, follow-up, reporting, or historical tracking
