Step-by-step guides to help you get the most out of our app

Event Setup

  • Go to your church’s Door to Door app URL.
  • Click “Sign in by Email” and enter your email and password.
  • Note: Only authorized admin users have access to management and setup features.

After logging in, you will see the Manage Events dashboard. This is the primary hub for creating, viewing, and editing all events for your church.

  • Click the “Add Event” button
  • Fill out the form:
    • Church: Choose (usually pre-filled for your organization)
    • Event Name: Enter a clear, descriptive title
    • Event Type: Select (e.g., Door to Door Evangelism or Blitz)
    • Parent Event: (Optional) For multi-level or recurring events
    • Dates & Times: Set the start and end dates, including event times
    • Description: Provide public information or instructions for your team
  • Additional Settings:
    • Enable or disable address/visit/registration list options
    • Set whether route selection is allowed, or assign routes automatically
    • Choose the number of routes to assign by default to each team
  • Click “Save” to finish the event setup

Event Planning

From the ‘Manage Events’ screen, select your event. Click the ‘Control Room’ to manage all logistics.

  • Go to the ‘Address Targets’ tab
    • This tab displays an interactive map centered on your church or event location
    • You’ll see any previously selected areas, or an empty map if this is a new event

  • Select Neighborhoods and Streets
      • Zoom and Pan: Use your mouse or touch controls to zoom in on the neighborhood you want to visit
      • Draw a Polygon:
        • Click on the map to plot points marking the corners of your desired area
        • Each click drops a new point
        • Continue clicking along the border until you have surrounded the area you want
      • Close the Shape: Connect the last point to your first, or simply click the “Add” (the green) button after outlining your area
      • Automatically Counted: The app will display the number of addresses (homes/units) found within your selection

Tip: You can repeat this process for multiple neighborhoods or sections—especially helpful for larger or multi-team events.

If you accidentally include unwanted streets or buildings, you can easily exclude them:

  • Draw a Polygon to Remove:
    • Click to outline the area you want to exclude.
    • Click the “Remove” (red) button.
    • All included addresses will be subtracted from your event’s target list.
  • Refine & Adjust:
    • You can add or remove as many areas as needed to get just the right collection of houses.
  • Heat Map & Address Count:
    • The map shows a live address count and may visualize address density with heat map colors or grouping/clustering icons
  • Check Address Markers:
    • As you zoom in, each address is marked with a pin; click a pin to see the full address information
  • Summary Tab:
    • The “New and Total” or similar tab gives a full list and route assignment summary
  • Unassigned vs. Routed:
    • Before assigning routes, all addresses show as “unrouted.” Once routed, each address will show its assigned route number

In your event’s Control Room, navigate to the “Routing” tab after you’ve completed address selection. Here, you’ll see a summary of all unassigned addresses.

  • Set Route Size
    • Choose how many addresses (homes) you want in each route (e.g., 35 per route). This number determines the workload for each team
    • Tip: Through experience, a route size of 35 has proven manageable for most teams, but you can adjust this based on your event and team capacity
  • Click ‘Assign Routes’
    • The system will automatically group the addresses as evenly and efficiently as possible, aiming to minimize travel distance between houses

Once routing is completed, the map will show each address with a colored marker and a route number.

  • Each route is typically given a unique color for easy visual identification, although colors may repeat for large events
  • Zoom in to see detailed assignments; zoom out for a broad overview
  • Use the cluster/heatmap toggle to change between grouped and individual pin displays

You are not locked in once routes have been assigned. The app gives you flexibility:

  • Merge Routes: Combine two routes into one if you need larger teams or fewer teams overall.
  • Delete Routes: Remove a route (addresses will become unassigned and available for reassignment).
  • Unroute: Revert one or all routes back to “unassigned,” allowing you to try a different strategy or correct mistakes.
  • Manual Adjustments: For fine-tuning, reassign addresses between routes as necessary.

Event Execution

Once everything (address targeting and routing) is set up and reviewed, change your event’s status from Draft to Active.

This makes the event available for team leaders and members to join and access their assignments.

Only “Active” events can be launched and have teams sign in.

  • Click the Launch TLs / Event” or similar button in the control room
  • The app will generate a QR code and shareable link
    • Display the code on a screen or print it for your event launch day
    • Only share this code/link with designated team leaders to ensure proper group organization. Team “members” will join at a later time to each team leader.

On Event Day:

  • Team Leaders Sign In: Each team leader scans the QR code from the administrator or opens the provided link on their mobile device to join the event
  • Form Teams:
    • Team leaders gather team members (who may join them by scanning a QR code or receiving a text invite on their phones)
    • Each team member can scan the QR code from their team leader to quickly join that team
    • Each team member uses their cell phone number for a quick, passwordless sign-in and joins their leader’s team
    • Members unable to scan a QR code can join via a text invitation sent through the app

Tips for Smooth Team Formation:

  • Announce team leaders and ask them to spread out
  • Instruct volunteers to join a team (by name or at random) for quick, even group formation
  • Encourage groups of 3–5 per team for manageability

As teams are formed, the app automatically assigns routes to each team. Teams can view their assignments on a map or in a list. The route size and number of routes per team are based on your admin configuration.

Assignments appear both on your My Map and My List tabs. Each address will start as “unvisited.”

  • Find Your Next Address
  • Your location (if enabled) shows as a red indicator on the map to help orient you
  • Travel to the Residence
  • Log the Visit
  •  
    • Tap the address on the map or hit “Visit” beside the address on the list
    • The app opens a “Visit Report” prompt with simple, quick options:
      • Was the door answered? (Face-to-face, No answer, No soliciting, Business or no house)
    • Leave materials or have a conversation as appropriate.
    • If there’s a face-to-face meeting, additional prompts appear:
      • Enter a name (optional)
      • Check off results (presented the gospel, accepted Christ, prayer request, etc.).
      • Mark household info (‘Christian,’ ‘Unchurched’, children present, etc.)
      • Add any notes (can type or dictate)
  • Save Your Results
    • Click Save and Done to log the result and return to your map or list.
    • If you spoke to multiple people at an address, select Save and More to document additional interactions
  • Visual Feedback
    • The address marker turns green (or another color) once marked as completed, giving live feedback to your whole team
    • Completed visits auto-sync—everyone on your team sees real-time updates and which homes are still pending
  • Control Room Dashboard
    • Access the event’s Control Room to see all vital event data in one place
    • Overview information includes:
      • Number of active teams, team leaders, and total volunteers (including those not using the app but counted by team leaders)
      • How many addresses are assigned, completed, and still available
      • Live updates as teams progress through their routes
  • Live Map View
    • Visualize address coverage on an interactive map
    • Unassigned addresses: Often shown in one color (e.g., yellow)
    • Assigned (but unvisited) addresses: Another color or special icon
    • Completed/visited addresses: Marked green or another color
    • Click on map pins to see visit details, team assignments, or notes for any address
  • Progress Statistics
    • Instantly see:
      • Number of homes visited
      • Outcomes of visits (face-to-face, no answer, gospel shared, salvations, prayer requests, etc.)
      • Team-by-team progress and statistics, visible as summary totals and in exportable lists
    • Filter by route, team, or specific visit results to analyze event coverage
  • Location Tracking (If Enabled)
    • When participants allow location sharing, you can see approximately where teams are operating on the map
    • This helps enhance safety and support logistics (“Where is Team #3?” or “Who’s covering the far side of the neighborhood?”)
  • Send Announcements: Use the built-in messaging feature to send SMS updates or encouragement to team leaders or all volunteers
  • Share Reminders: Remind teams if time is running short, or instruct them to return for a wrap-up at a specific time
  • Troubleshooting: If you notice a stalled team or incomplete route, contact the team leader directly

Event Follow-Up

Ask all teams to complete their visits and submit all results before returning. Encourage teams to review their coverage (on the app’s map or list) to make sure nothing was missed.

In the app, change the event status to Ended or Completed to close participation.

Volunteers will lose access immediately, and results are protected for admin/staff use only.

  • Check Visit Logs:
    • Verify that all teams have submitted their visit records and completed their assigned routes
    • Look for any missed addresses or uncompleted routes and assign follow-up if needed
  • Analyze Statistics:
    • Review summaries: houses visited, conversations, gospel presentations, salvations, prayer requests, etc.
    • Use map view or export tab for in-depth review, including team-by-team or street-by-street breakdowns
  • Download Results:
      • Using the export feature, download all event data (address lists, visit results, notes, and team assignments) to Excel/CSV
      • Store these securely according to your church’s data retention policies
  • Identify Follow-Up Needs:
    • Use visit results and notes to mark homes requesting prayer, more information, baptisms, or further visitation
    • Assign church staff, small group leaders, or designated volunteers to these follow-up tasks
  • Data Sharing:
    • If you use a church management system (ChMS), import the exported data for coordinated next steps
